Office Administrator

About the Role

A locally owned and operated scaffolding company based in the Shoalhaven is seeking a highly capable and motivated Office Administrator to join their team. This business provides scaffolding solutions to a wide range of commercial, residential, and industrial projects throughout the region.

This position is a key role within the business, responsible for managing all office-based functions and providing administrative support to ensure smooth and efficient operations. The successful applicant will work closely with management, site teams, clients, and suppliers to oversee all administrative tasks, financial processes, and customer service requirements.

This is a varied role that will suit an experienced administrator who can take ownership of office processes, including accounts payable and receivable, payroll processing, document management, and day-to-day communications. Experience using Xero software is highly desirable as the role requires end-to-end management of financial administration and payroll processing.


Key Responsibilities

  • Manage incoming calls, emails, and general office correspondence
  • Maintain and manage filing systems, documentation, and records
  • Raise purchase orders, prepare invoices, and manage accounts payable/receivable using Xero
  • Process weekly payroll and maintain employee records
  • Prepare quotes, contracts, and job-related documentation
  • Liaise with clients and suppliers to coordinate orders and services
  • Ensure compliance documentation and safety records are maintained accurately
  • Provide general administrative support to management and site teams

Skills & Experience

  • Proven experience in an administrative role (construction, trades, or industrial sector preferred)
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Strong working knowledge of Xero accounting software
  • Excellent time management, organisational, and communication skills
  • Ability to work independently, manage competing priorities, and meet deadlines
  • Strong attention to detail and accuracy
